Job Title: Senior Administrative Assistant
Division: Financial Stability & Banking Policy and Strategy Marketing & Communications
Location: Toronto

Overview

The Senior Administrative Assistant reports to the Senior Vice President, Financial Stability & Banking Policy and the Senior Vice President, Strategy Marketing & Communications and provides administrative support to both Senior Vice Presidents and their teams.

Description of Responsibilities:

Supports the Director of Administration, including:

  • Provide general administrative support including managing the Senior Vice President’s calendar, the design and presentation of briefing materials, analytical matrices, and slide presentations
  • Provide ongoing administration for the division’s policy and advocacy files
  • Prepare Member Portal postings to committees
  • Track members’ approval and comments on submissions sent to committees for approval; prepare submissions for the Senior Vice Presidents signatures
  • Prepare documentation and briefing materials required by the Senior Vice Presidents, following up where required to ensure that documents due from various areas are provided on a timely basis
  • Coordinate the preparation of speaking notes, presentations, and meeting material for the Senior Vice President
  • Schedule internal and external meetings, schedule senior committee meetings, specialist and working groups, as required
  • Although limited, book travel arrangements; preparing detailed itineraries for external meetings and travel
  • Prepare and process expense reports and manage divisions’ financial accounts
  • Direct incoming mail and materials to staff in the division, highlighting those that are urgent
  • Proactively seek process improvements for the division
  • Work collaboratively to create effective processes and efficiencies with the Senior Assistants and provide absence back-up, when required

Key Qualifications, Abilities and Skills:

  • Minimum 5 years of experience in a senior administrative role supporting executives
  • Excellent judgement/discretion and problem-solving skills as well as flexibility in terms of responsibilities and time
  • Strong organization, administrative and secretarial skills, with a commitment to taking initiative to make processes more efficient and effective
  • Computer literacy – Advanced knowledge of Word, Excel, PowerPoint, and the Outlook system, as well as design systems, and video conferencing technology
  • Strong verbal and written capabilities
  • Ability to work to very tight timelines, with accuracy and a highly developed attention to detail
  • Ability to work with all levels of management and the CBA's large and varied client base
  • Ability to work independently, assume responsibility, and take initiative
  • Ability to speak and write French is desired for this role
